This is a plain-English summary of how ProActor(“we”, “us”) handles your data. Final legal language will be reviewed by counsel before GA; the behavior described here is what the product actually does today.
1. What we collect
We store the metadata needed to run your career hub: audition and booking records (project, role, casting office, rates, statuses, dates), your account email, billing identifiers from Stripe, and any content you explicitly upload (sides PDFs, self-tape links, notes). We do notstore sides content unless you upload it yourself — we're not crawling casting sites.
2. How email ingestion works
When you enable email forwarding, we assign you a private address at*.in.proactor.app. You forward audition emails to that address. We parse structured fields (project, role, due date, rate) and discard the raw email body after 7 days. Original attachments are retained only if you mark them “save.” Ingestion is user-agency — you're the one looking at the page or clicking forward.
3. How the Chrome extension works
The extension runs only on casting-portal domains you've opted into. It reads the DOM of pages youare already viewing — the same pages open in your browser — extracts audition metadata, and posts it to your account. It never runs in the background, never opens pages without you, and never authenticates on your behalf. If the site's TOS forbids automation we respect it.
4. Sharing & rep seats
If you invite a rep (agent or manager), they see the slate you choose to share. You can revoke access in one click. Reps cannot export your data outside of ProActor. We do not share data with casting networks, production companies, or third-party marketing.
5. No sale of data
We do not, and will not, sell your data. We do not share it with ad networks. If this ever changes, you'll get 30 days' notice and an opt-out — not a buried email.
6. Retention
Your account data lives as long as your account does. If you cancel, we retain your data for 30 days in case you come back, then delete it. You can export everything to CSV any time from settings.
7. Subprocessors
We use a small list of vendors to run ProActor: Supabase (database + auth), Stripe (billing), Postmark (transactional email), Vercel (hosting), and Anthropic / OpenAI for parsing assistance. Data is processed under their standard DPAs. The current list is on our status page; we'll notify you by email 30 days before any material change.
8. Your rights
You can access, correct, export, or delete your data at any time from account settings. If you're in the EU, UK, or California, the corresponding statutory rights apply — email ben@bengiroux.com and we'll respond within 30 days.
